POWERGROUP Resources ("Powergroup," "we," "us," or "our") provides human resources, recruiting, bookkeeping, and accounting services to small and medium-sized businesses. This policy explains what personal information we collect, why we collect it, how it is used and protected, and how you can contact us about it. We comply with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable Canadian privacy law governing personal information collected, used, or disclosed in the course of commercial activity.
Because of the nature of our services, Powergroup handles personal information in two distinct capacities:
A. Information we collect directly, as the operator of this website — for example, when you fill out a contact form, book a consultation, or subscribe to our newsletter. For this information, Powergroup determines how and why it is used, and this policy governs that use directly.
B. Information we process on behalf of our clients, as their HR, payroll, bookkeeping, or recruiting service provider — for example, an employee's SIN, banking details, or salary information shared with us to run payroll, or a job candidate's résumé submitted through a recruiting engagement. In this capacity, our client is the party responsible for that information, and Powergroup handles it strictly under the terms of our service agreement with that client, using it only to deliver the contracted service. Individuals with questions about how their employer's information is handled should generally contact their employer directly; Powergroup will support that process as required under our client agreements.
When you interact with our website — submitting a contact form, booking a consultation, completing our business assessment tool, or subscribing to updates — we may collect the following:
Where you are an employee, contractor, or job candidate connected to one of our client businesses, and Powergroup has been engaged to provide bookkeeping, payroll, HR, or recruiting services to that business, we may process the following categories of personal information on our client's behalf:
This information is provided to us by our clients or collected on their behalf, and is used exclusively to perform the services set out in our agreement with that client. We do not use this information for our own marketing, sales, or any purpose unrelated to the contracted service.
We use website inquiry and consultation information only to respond to your request and provide the information you asked for. We do not share this information with outside parties except as necessary to complete that process.
We use return email addresses only to respond to the email we receive. These addresses are not used for any other purpose and are not shared with outside parties.
If you subscribe to receive our newsletter or service updates, we use the contact information you provide solely for that purpose, and only where you have opted in.
We may use non-identifying, aggregated website data to improve our content and services. We do not disclose aggregated data in a way that could identify any individual.
We will not use your personal information for a purpose unrelated to those described above without your consent, except as permitted or required by law. We do not sell personal information collected through this website.
Only personnel directly involved in delivering the relevant service have access to this information, on a need-to-know basis.
We do not sell personal information. We may disclose personal information to:
We require our third-party service providers to maintain privacy and security safeguards consistent with this policy through contractual obligations.
Our website uses cookies, analytics tools, and tag management technology to understand how visitors use our site and to improve our content and services. These tools may collect information such as pages visited, time on site, and general location data derived from IP address.
You can control or disable cookies through your browser settings. Disabling cookies may affect certain website functionality.
We retain personal information only as long as necessary to fulfill the purposes described in this policy, or as required by law.
Website inquiry and newsletter information is retained until you unsubscribe or request deletion, or until it is no longer relevant to the purpose for which it was collected. Client service-delivery information, such as payroll, HR, and recruiting records, is retained in accordance with the retention requirements set out in our client service agreements and applicable employment, tax, and financial recordkeeping laws.
When personal information is no longer required, we securely destroy, delete, or anonymize it.
We maintain physical, electronic, and administrative safeguards appropriate to the sensitivity of the information we hold, including access controls and staff confidentiality obligations. Given the nature of the financial and employment information we process on behalf of clients, access to that information is restricted to personnel directly involved in delivering the relevant client's services. No method of transmission or storage is completely secure, and while we take reasonable steps to protect personal information, we cannot guarantee absolute security.
In the event of a breach of security safeguards involving personal information under our control that creates a real risk of significant harm, we will notify affected individuals and report the breach to the Office of the Privacy Commissioner of Canada, in accordance with PIPEDA's breach notification requirements. Where personal information is processed on behalf of a client, we will notify the affected client promptly so they can meet their own notification obligations.
If you are a website visitor or newsletter subscriber, you may request access to, or correction of, the personal information we hold about you by contacting us using the details below.
We may take reasonable steps to verify your identity before granting access or making corrections, and will respond within the timeframe required by PIPEDA.
If you are an employee or job candidate of one of our clients, requests regarding your personal information should generally be directed to your employer or the hiring business, as they remain responsible for that information; we will assist our client in responding as required under our service agreement.
If you provide your mobile phone number and consent to receive SMS messages from POWERGROUP Resources, we may send you service-related communications, appointment reminders, account updates, and other information you have requested.
Mobile phone numbers, SMS consent, and SMS opt-in data will not be shared, sold, rented, or disclosed to third parties or affiliates for marketing or promotional purposes.
You may opt out of SMS communications at any time by replying STOP. For assistance, reply HELP or contact us using the information provided in this policy. Message frequency may vary and message and data rates may apply.
Mobile phone numbers, SMS consent records, and SMS opt-in data are not shared with third parties or affiliates for marketing or promotional purposes.
